Position Title: CLIENT SERVICES OFFICER
with Australian Financial Planning experience ONLY
Reports to: Admin Manager
Key Working Relationships:
External: No external contact
Internal: Financial Advisers and Client Service Officers (note: this role is to be split with the onshore Client Service Officer to alleviate their workload)
Role Purpose: To provide support to the financial planners and client service officers in the administration of the new client applications and onboarding, maintenance of client files and the production of specific reports on the client portfolios as requested by clients and accountants. Supports a Wealth Advisor in Australia.
Duties and Responsibilities:
Administration
- Compile written financial recommendations & product disclosure statements
- Complete & co-ordinate application lodgments/withdrawals/investments
- Maintain client files/filing
- Maintain & co-ordinate review schedule
- Issue client welcome packs and Financial Services Guide (where appropriate)
- Undertake administrative enquiries
- Coordinate client invoicing (where appropriate)
- Provide back up support for the data feed function
- Provide support to Marketing/Operations by:
- - Co-ordinate invitations to client seminars
- - Co-ordinate mail merges/direct marketing to clients (where appropriate)
Client Relationship Communications
- Build Client & Joint Venture Relationships & Support Advisers
- Manage incoming Client Calls and assist where appropriate
- Identify opportunities to cross-sell service offerings to clients
- Maintain Ongoing Service Program for clients, including review workflow
- Follow-up calls to new/existing clients
Office Maintenance/Management & Reporting
- Liaise with Manager to maintain & improve internal processes & turnaround times
- Ensure compliance and best practice procedures are followed
- Assist with the Team’s workflow & allocate tasks (where appropriate)
- Train new staff members by following Prime’s established processes & procedures
- Maintain Client Management System & data integrity
- Provide requested reports to Manager (where appropriate) in requested time frames
Handles other duties and responsibilities as deem necessary by Management.
Experience and Qualifications
Desirable:
- Client service administration experience with a financial planner
or financial services company in AU
- Administration support and database or CRM maintenance
experience
- Excellent communication skill, both written and verbal
- Outstanding Excel skills
- Experience with Coin or Xplan: Financial planning platforms
- Tertiary qualifications
- An interest in the financial planning industry or any previous qualifications related to financial planning

Job Type: Full-time
Salary: Php50,000.00 - Php60,000.00 per month
